Principal - Bill Clapin

WD Clapin is a sole practice run by Principal Bill Clapin. His late father established the firm and Bill has been in practice for the past thirty years.

A general practice located in the hub of Sydney CBD, Bill's work covers conveyancing, patents, wills, probate, criminal and litigation.

Bill installed the Locus Practice Management System in 1997 to manage the firm.

"With any size law firm, it is important to keep accurate records. As a sole practitioner, I myself do not have the ability to do the bookkeeping on my own but I can certainly use Locus."

Time & Billing

Bill's philosophy for efficient Time Management and Billing is to record events in the matter as they happen.

"I have Locus Time running in the background all the time. I have a unique set of work codes for time and diary entries. They help me describe what I do. I record instantly, accurately and completely. "

Locus then works out and prints a draft bill incorporating all the time and other entries, with the GST included. Bill then decides whether to adopt the total or make the necessary changes.

"Previously, I would have to stay back late in the evenings or come in on the weekends to do my diary and timesheets, just to produce bills the following week. Now, it is all incorporated. I do not have to make separate entries for my diary, timesheet and then the bill."

"With Locus, it is very easy to justify your bill. You know the exact amount
of time you've spent on every matter."

Streamlined Conveyancing

"When I started in law, we used Laurie's Interest Tables to work out settlement adjustments. We then graduated to Coote's Apportionment Tables. When technology started in the 1960's, it was marvellous to work out the adjustment with a simple calculator. It was even more exciting when I graduated to an Excel spreadsheet."

"Now, Settlement Adjuster is incredible by comparison. I can start preparing for a conveyancing matter by opening and compiling a settlement sheet as I go. It does all the calculations for me. This saves doing it in a rush on the last day before the settlement is due. If any adjustments are required, I can make them when they happen. It is instantaneous."

There was an occasion when Bill was without a secretary and had to do three settlements in one day:

"I certainly would not have been able to do it without Settlement Adjuster. The software enables me to check whether I have a valid statement because any unallocated amounts are highlighted and my attention is drawn to make sure there is nothing left over."
